Architechain is built for architects, engineers, quantity surveyors, and construction professionals. Your project drawings, CAD models, site reports, and confidential commercial data belong strictly to your workspace. We never monetize, sell, or advertise against your business data.
1. Overview & Scope
Architechain ("we", "us", "our", or "Platform") operates independently as an architecture and construction management ERP platform, available at www.architechain.com and through related mobile and web interfaces.
This Privacy Policy details how we collect, store, process, protect, and handle data when you:
- Register or maintain a workspace account on Architechain;
- Collaborate on architectural blueprints, 2D/3D CAD models, structural designs, and BOQs;
- Generate and dispatch daily site inspection reports, manpower logs, and photo verifications;
- Use client portal access, send quotation approvals, or process project invoices;
- Interact with our customer support channels or website at www.architechain.com.
By creating an account, inviting team members, or using our services, you acknowledge the data handling practices described in this document.
2. Information We Collect
We collect only the information strictly necessary to provide a reliable, multi-tenant construction and architectural management platform:
Full name, business email address, chosen username, cryptographic password hash, phone number, company name, department designation (Architecture, QS, Site Construction, Finance, or Executive), and role assignment.
Drawings, CAD/BIM attachments, PDF specifications, Bill of Quantities (BOQ), material schedules, contract documents, client records, and site inspection logs uploaded directly by your team.
When mobile site inspectors submit daily site reports, GPS coordinates and photo timestamps may be recorded to verify job-site presence, safety progress, and weather conditions.
Subscription tiers, invoice identifiers, and Bakong KHQR settlement hash numbers. Notice: We do not capture or store credit/debit card numbers or bank PIN codes; transactions resolve securely via NBC Bakong.

3. How We Use Your Data
Architechain processes your information strictly under lawful contractual necessity and legitimate business administration:
- Delivering Core Platform Workflows: Calculating BOQs, synchronizing task boards, compiling multi-page daily site reports into branded PDFs, and maintaining project cost analytics.
- Facilitating Team Collaboration: Enabling real-time discussion threads, department task handovers (Architecture to QS to Site Construction), and client portal reviews.
- Automated Notifications: Dispatching daily site summary PDFs via Telegram bot integrations or transactional email updates for task deadlines and quotation approvals.
- Platform Reliability & Security: Mitigating unauthorized intrusions, preventing cross-tenant data leakage, maintaining automated daily backups, and monitoring uptime.
4. Data Ownership & Workspace Isolation
We recognize that architectural blueprints, structural calculations, and construction contracts are valuable, proprietary trade secrets.
Tenant Isolation Architecture
Each subscriber is granted an isolated workspace namespace. Every database query, file storage request, and report export is authenticated against your workspace tenant ID. Cross-workspace visibility is strictly prevented at the database and application levels.
Your Intellectual Property: You and your design firm retain 100% full copyright, title, and ownership of all design files, CAD assets, site photographs, client records, and documents uploaded to the platform.
5. Third-Party Sub-processors
To operate high-availability cloud infrastructure, we partner with reputable, enterprise-grade service providers who are bound by stringent confidentiality agreements:
- National Bank of Cambodia (Bakong / KHQR): Facilitates instant, cashless QR code subscription payments without capturing card credentials.
- Google OAuth & reCAPTCHA: Provides optional secure identity verification and guards against automated bot registration attacks.
- Telegram Bot API: Optional direct integration for streaming daily construction site reports and urgent task alerts to company Telegram groups.
- Cloudflare / Cloud Storage: Provides DDoS mitigation, Content Delivery Network (CDN) acceleration, and encrypted file object storage.
- Transactional SMTP Providers: Delivers workspace invitation emails, password recovery tokens, and billing invoices.
6. Security & Technical Safeguards
We employ multi-layered technical, administrative, and physical safeguards designed to protect the confidentiality and integrity of your architectural and financial data:
7. Data Retention & Erasure
We retain workspace records for as long as your subscription is in good standing. Should you choose to cancel your account or terminate your subscription:
- 30-Day Export Grace Window: Workspace administrators may download complete data archives, including PDF site reports, drawing files, and Excel BOQs.
- Permanent Deletion: After 90 days following formal account closure, all database records and stored files associated with your workspace tenant will be permanently scrubbed from our active production systems.
- Statutory Retention: Basic transaction receipts, tax invoices, and KHQR payment confirmations are preserved for the statutory period required by the General Department of Taxation (GDT) of Cambodia.
8. Your Rights & Controls
As an account holder and data subject, you hold comprehensive rights regarding your information:
- Right of Access & Portability: You may request an export of all personal information and architectural project data stored in your workspace.
- Right of Rectification: You may correct inaccurate profile data, company titles, or contact info directly from your Settings dashboard.
- Right of Erasure ("Right to be Forgotten"): Workspace owners may request the complete deletion of their account and all team member records.
- Revocation of Integrations: You may disconnect Telegram bots or social login authorizations at any time through your workspace configuration.
10. Governing Compliance
This platform operates in full alignment with the laws and regulations of the Kingdom of Cambodia, specifically:
- The Law on Electronic Commerce (Promulgated November 2, 2019);
- The Law on Consumer Protection (2019);
- National Bank of Cambodia guidelines on electronic payment security and Bakong settlement.
11. Changes to This Policy
We may periodically update this Privacy Policy to reflect enhancements in our architecture modules or changes in legal regulations. When material changes are made, we will notify workspace administrators via in-app banner or registered email at least fourteen (14) calendar days prior to effective implementation.
